Why this notice exists
Most students whose records are kept in Institute Console ("Institute Console") are children. This notice explains, in plain language, how their information is handled. It adds to our Privacy Policy, which applies in full. Institute Console is operated by DEXDEVS (SMC-PRIVATE) LIMITED.
Students' data belongs to their Institute's records
Institute Console is used by educational Institutes ("Institutes"). A student's information is entered and managed by their Institute, which is responsible for it as the data controller. DEXDEVS processes it only on the Institute's behalf and only to provide Institute Console.
- Children cannot sign up by themselves. There is no public registration. Every student account, and every parent or guardian account, is created by the Institute.
- The Institute is responsible for obtaining any consent that the law requires from a parent or guardian, and for telling families what it records.
- Institute Console is a tool for education and Institute administration. It is not a general-audience app directed at children, and it contains no games, advertising or public social features.
What information about a student is shown in the app
Depending on what the Institute uses, a student or their linked parent or guardian may see:
- the student's name, class, section, admission number and photograph;
- timetable, attendance, homework, diary entries, lecture notes and teachers' voice notes;
- assessments, exam marks, results and report cards;
- fee invoices, payments and balances;
- transport details, including the live position of the Institute bus while the driver is on a shift; and
- messages and notices from the Institute.
Only people with a legitimate role can see a student's information: the student, their linked parents or guardians, and Institute staff whose role and branch permit it.
What we never do with children's data
- No advertising, and no advertising identifiers, in Institute Console.
- No sale or sharing of children's data for advertising or marketing.
- No behavioural profiling of children, and no direct marketing to them.
- No third-party analytics or advertising tools in the mobile app.
- We do not collect a student's location. Only the transport driver's phone shares the bus's position, and only during a shift.
School authorisation and consent
Institute Console is a school-administration tool, not a service aimed at children to use on their own. A student's account is created by the student's Institute, which decides what information is recorded and is responsible for obtaining any consent the law requires from parents or guardians. Where the law lets a school consent on behalf of parents for educational purposes, we rely on that, and we use a child's data only to provide the school service the Institute has asked for. A child cannot sign up on their own, and we do not knowingly collect information from a child outside an Institute's own records. Laws such as the US Children's Online Privacy Protection Act (COPPA) and the EU and UK GDPR, where they apply to an Institute, are met together by the Institute and by us under our Data Processing Addendum.
Rights of parents and guardians
A parent or guardian linked to a student in Institute Console can:
- see the student's records that the Institute shares, in the app or on the web;
- ask for corrections to the student's records by contacting the Institute;
- ask for a copy of the student's data, through the Institute or by email to us;
- ask for the student's record to be deleted, in the app under Settings, then Privacy & data, or as described on our Account and data deletion page; and
- object to or ask to restrict particular uses of the data, through the Institute.
The Institute reviews each request, because it may be required by law to keep certain records, such as fee or exam records. If a request is refused, the Institute will give a reason. We respond to requests sent to us within 30 days.
Older students may also be able to exercise these rights for themselves, depending on their age and the law where they live.
Keeping students safe
Students' data is protected by the same safeguards as all Institute Console data, including encryption in transit, encrypted backups, database-level separation between Institutes, role-based access and a tamper-evident audit log of changes. These are described in our Privacy Policy.
If you are worried that a child's information has been seen by someone who should not have it, contact the Institute and email us at privacy@instituteconsole.com straight away.
